XAMBOX ANYWHERE- FAQ and Troubleshooting FAQ: 1.1. I scanned lots of documents but I do not know how to find them. How does the research function work?
Troubleshooting: 2.1. I just scanned an 11"x17" document with my compatible TWAIN scanner, I found the document on my secured space but the keyword search isn’t working! Chapter 1. FAQ
1.1 I scanned lots of documents but i do not know how to find them. How does the research function work ? The character recognition software (OCR) indexes all of the words in the document, its title and the notes that you made, so that you can easily locate it.
1.2 How do I retrieve my documents more efficiently? I’m trying to find a specific document, but when I type in a keyword, many documents appear. Here are some examples of an advanced search: Boolean queries: Our search engine supports the use of AND, OR, and NOT, noted also as + or -, (this is the same syntax as Google). Example: To research the bank statement from Wachovia: Bank statement + Wachovia Search for an exact phrase: You can select the documents that contain an exact phrase by using quotation marks. Search by radical: You can broaden a search to all the words that have the same radical. The asterisk (*) can replace a sequence of characters. For example [const*] may mean constitution, construction, constellation... The question mark (?) can replace any single character. For instance [trai?] may mean train or trail, but not training. Fuzzy Search: If you do not know the exact spelling of a word, you can enter a tilde (~) when completing your search. For example Kyrgyzstan might be found using the spellings kirgistan ~, khirgizstan~, khyrgystan~, kirgyzistan~ etc.
1.3. Do I have to rename documents in order to find them? It isn’t necessary to rename documents to find them because our character recognition engine indexes all of the words in the document. 1.4.How do I find a handwritten document or a photo? Our character recognition software (OCR) doesn’t recognize hand writting. To find a handwritten document or a photo, you must rename it or add keywords in the note.
1.5.Which paper formats are supported? The supported formats depend on your TWAIN scanner: Xambox Anywhere accepts all electronic PDF documents in the limit of the following resolution: 4961x7016 or 5100x6600 pixels. These resolutions correspond to a US Letter scanned at 600 dpi, or an 11"x17" at 300 dpi. To configure the output resolution of your scanner, please refer to the manufacturer's guide.
1.6. Can I scan several documents at one time? How do I use the bar code labels? In order to scan several different documents at the same time, place a bar code label on the first page of each different document and the Xambox will recognize them as several different documents.
1.7 How do the trays and dividers work with Xambox? Xambox Anywhere manages the physical position of the paper you just scanned. You no longer have to search for your documents in your home or office. Retrieve the document that you are looking for in your secured xambox.com account and the location of the corresponding hard copy will be noted on the right of the page. Example: Your tax return is in box #4, divider #3, 5th sheet. You can find this document in just a few seconds!
1.8 How do I create a new box ? My box is full but i do not know how to create a new one. When your box is full and you want to start a new one, you must scan a divider #1 to specify the application that you wish to start a new box. Do not forget to close the box and to note its number and name on the labels on the side of the box, so that you can find it easily in future searches. You can use the dividers to simplify your search. By using the dividers with a stack of documents, you can find your desired document more easily. You decide the frequency of using the dividers amongst your documents (every 20, 30, 50 sheets; every Monday; every morning).
1.9.When should I use the dividers with my Xambox? You can use the dividers to simplify your search. By separating stacks of documents with the dividers, you can find your desired document more easily. You decide the frequency of using the dividers amongst your documents (every 20, 30, 50 sheets; every Monday; every morning). Using the divider every 20 sheets or so has been found to be the most popular method.
1.10. I don’t have a scanner, but I want to upload some of my electronic documents. How do I do this? We have developed several tools that permit you to upload documents to your Xambox.com account which you can access from anywhere and at anytime. To add a PDF or other types of electronic documents (Word, Excel, pictures, etc...): Directly from your Xambox Anywhere account - http://www.xambox.com (Browse button or drag and drop)
1.11.I cannot find the document in my box! Only paper documents that you have scanned have a physical position. Check that it is a scanned paper document, not an electronic document. If it is indeed a scanned paper document, make sure that you have not previously removed the document. Always remember to notify the Xambox Manager that you have removed the original document from the tray. Otherwise, the physical location of all of the documents will be distorted.
1.12.I have selected a document to share and have clicked on the button “send by email” but nothing happens! You must have an email client installed onto your computer such as Outlook or Thunderbird. The Xambox Anywhere solution is compatible with all email clients that support the "mailto" protocol (implemented in almost all existing solutions).
1.13 .I have removed a document and want to put it back. I can select two different positions. Which one should I choose? When putting back a paper document into the box, you may choose to return your document to its original position (where you initially took it), or on top of the current latest box. Returning your document on top of the latest box is faster. Simply drop your paper on top of the box that you are currently using. If you choose to return your document it to its original position, follow the indicated position.
1.14. I have shared a document and sent a secure link to another party so that it can be downloaded, but it does not work! This secured link is valid until you unshare the document. If you share the document again, a new secure URL will be created and it will be necessary for you to resend it to the other party.
1.15. Why is my recently scanned document appearing with the title, “document processing”? Once scanned, the document is sent to the Xambox Anywhere servers and processed by the character recognition engine. This step can be shorter or longer depending on document size, complexity index (contains more or fewer frames), the traffic on the site, etc…
1.16.I have scanned a paper document but its title contains strange characters. The character recognition engine automatically assigns a title to the document based on the first characters recognized. Often the documents contain logos or other imperfections with the result being a misinterpretation of characters that may appear something like this: & # '[V) II .. ! §. Use the function “Rename” if you wish to fix its title and retrieve it by its new title in the future.
Chapter 2. Troubleshooting
2.1. I just scanned an A3 document with my compatible TWAIN scanner, I found the document on my secured space but the keyword search isn’t working! It is probably due because your TWAIN scanner is configured to scan in an unsupported resolution. Xambox Anywhere accepts all electronic PDF documents in the limit of the following resolution: 4961x7016 or 5100x6600 pixels. These resolutions correspond to a US Letter scanned at 600 dpi, or an 11"x17" at 300 dpi. To configure the output resolution of your scanner, please refer to the manufacturer's guide.
2.2. I am clicking on the “Scan” button of the Xambox Manager software and nothing is happening. What should I do? Update the your scanner drivers and/or reinstall the software.
2.3. I scanned a paper document and the Xambox Manager displays “processing document” whereas the document is already on my xambox.com account, is this normal? Click on another tab (for example: “history”) and return to the tab “Import Document”.
Why is my recently scanned document appearing with the title, “document processing”?
